General conditions of participation

The purpose of this document is to set out the general conditions as well as the financial and operational terms and conditions for the participation of any company or organisation (hereinafter referred to as the Exhibitor) wishing to take part in the trade show known as SIREXE 2024 (hereinafter referred to as the Show). SIREXE 2024 is organised by 2A Consulting (hereinafter referred to as the Organiser), which is acting as Delegate in this edition in accordance with an organisational delegation agreement signed with the Ministry of Mines, Oil and Energy of the State of Côte d'Ivoire.

1. Recording mode

Companies are required to submit a completed and signed application form. Only applications accompanied by the first mandatory payment will be considered.

2. Payment - Late payment

Payment of the sums contractually due may be made either in cash or by cheque or bank transfer made payable to the organiser, on the following dates and in the following manner: -50% at the time of booking; -50% at the latest 30 days before the show. Any sum due and not paid by the due date set out above will automatically be subject to late payment interest at a rate equal to three times the legal interest rate, which will start to run the day after the due date shown on the invoice. In the event of recourse by the Organiser to a legal representative for failure to comply with the aforementioned payment deadlines, the Exhibitor concerned must pay a fixed indemnity of 100,000 F CFA for recovery costs, in addition to the late payment penalties mentioned above.

3. Withdrawal

In the event of withdrawal or non-occupation of the stand for any reason whatsoever, the sums paid in respect of stand hire shall be forfeited to the organiser, even if the stand is re-let to another exhibitor following the withdrawal of the first tenant.

4. Access to the Show

Access to stands by persons designated by exhibitors is subject to the compulsory wearing of a personalised badge and/or service button issued by the organiser. Badges and service buttons will be issued to participants upon payment of the full cost of stand hire. The organiser will provide access badges on the basis of one badge for every three square metres of stand space rented. However, this allocation may not exceed ten badges per stand, regardless of the surface area rented.

5. Stand set-up and dismantling dates

Stand assembly operations are scheduled for November 2024, 48 hours before the Show. Stand assembly must be fully completed 24 hours before the opening of the Exhibition. The products exhibited must be set up no later than 12 noon on the day before the Exhibition opens. Dismantling of installations and removal of exhibits must be completed by 6 p.m. at the latest.

6. Cleaning, maintenance and security

The organiser is responsible for the general upkeep of the exhibition aisles and the security of the premises outside opening hours. Each exhibitor is responsible for the cleanliness and safety of his stand area.

7. Customs - Regularity

Each Exhibitor shall be solely responsible for completing all customs formalities applicable to materials and products from abroad and intended for exhibition at the Show. The Organiser cannot be held responsible for any difficulties that may arise during these formalities. Each exhibitor assumes full responsibility for the regularity of the operations carried out on his stand during the exhibition.

8. Change of location - Operation of Stands

The organiser reserves the right to change the location of stands and the management of exhibition space if necessary. The Exhibitor may not advertise, in any form whatsoever, or exhibit the products and/or services of companies other than those specified in the booking form. Any breach of this undertaking will give rise to immediate payment by the Exhibitor of a penalty determined for each additional company, according to the scale set out in the booking form.

9. Application of the Conditions of Participation

The organiser reserves the right to modify the provisions of these general conditions in the interests of the exhibition. By signing their application form, exhibitors undertake to comply with the provisions of these regulations and any new instructions that may be imposed by circumstances. Any failure to comply with these provisions will result in the immediate, temporary or permanent exclusion of the exhibitor, without the latter being entitled to claim any reimbursement or compensation whatsoever.

10. Invitations

The organiser is offering three invitations per square metre. Any additional invitations will be subject to a charge. Invitations may not be reproduced or resold.

11. Photographs / Brands

The exhibitor expressly authorises the Organiser and its subsidiaries, free of charge, to : - take, if he so wishes, photographs and/or films representing him and the members of his team, as well as the products exhibited on his stand. - freely use these images in all media, particularly advertising, both in Côte d'Ivoire and abroad, with no time limit. - quote and reproduce its brand or company name free of charge as a commercial reference for the purposes of its communication, on all media (particularly the Internet), both in Côte d'Ivoire and abroad, for a period of five years from the signing of these rules.

12. Entertainment - Not before 5 p.m.

Exhibitors planning to provide musical entertainment on their stand must inform the Organiser in advance. Any musical entertainment will only be authorised with the Organiser's agreement, on presentation of a precise project (equipment and sound source used, type of entertainment).
Failure to comply with these provisions may result, without prior notice, in the cutting off of electricity to the stand of the offending Exhibitor, who may not claim any compensation whatsoever.

13. Advertising

All illuminated or audible advertising must be subject to the prior written approval of the Organiser. When approval is granted, the maintenance of the approval is subject to the resolutive condition that the advertising does not in any way constitute a nuisance to neighbouring exhibitors, to traffic and, in general, to the smooth running of the Exhibition. Failure by the exhibitor to comply with any of the above conditions will result in the withdrawal of his approval without notice upon simple notification. The distribution of leaflets, vouchers and various printed matter is strictly forbidden in the aisles, in the enclosure and in the vicinity of the Show.

14. Product and Service Safety

Exhibitors assume full responsibility for the compliance of the products or services presented with the required safety standards and for any defects in said products or services.

15. Damage

The Organiser shall not be liable for any damage that exhibitors may cause to third parties, nor for the loss, theft or destruction of the materials and goods exhibited.

16. Insurance - Waiver of Recourse

All exhibitors waive all rights of recourse against the organiser, its insurers, any other exhibitor or any other person involved in the organisation of the exhibition on behalf of the aforementioned persons.

17. Exhibitor access to the Exhibition Guide

In addition to the provisions contained in these general terms and conditions, the organiser has drawn up a practical guide to the exhibition for each exhibitor, which can be consulted or downloaded at the following address: www.sirexe.ci.

18. Membership

The exhibitor's signature of these general terms and conditions implies acceptance of all the clauses, rules, regulations and penalties set out herein.
